VIRTUAL ASSISTANTS
FREQUENTLY ASKED QUESTIONS
Questions about virtual assistants?
We’ve got answers.
Straightforward answers to common questions about virtual assistants for wedding professionals, including what they can help with, how matching works, expectations, communication, onboarding, and ongoing support.
What does a virtual assistant do?
A virtual assistant can help with most of the day-to-day tasks that keep your business running, including things like:
Inbox and client communication.
Scheduling consultations and appointments.
CRM updates and lead tracking.
Contracts, invoices, and payment follow-up.
Vendor outreach and follow-up.
Organizing wedding timelines and client documents.
Updating venue, vendor, or wedding galleries.
Blog posts and website updates.
Social media support.
Email marketing.
General admin and recurring business tasks.
The exact tasks can vary depending on your business and what you need help with.
Basically, if you can train your VA to do it, they can do it. The goal is to take the mundane, day-to-day tasks off your plate so you can spend more time on the parts of your business that truly need you.
How many virtual assistant hours do I need?
The number of hours you need really depends on how much you want to take off your plate and how involved you want your VA to be.
We currently offer:
10 hours per month. A good fit for lighter, ongoing support with a few recurring tasks.
20 hours per month. A great option if you need more consistent weekly help across several areas of your business.
40 hours per month. Best for businesses that need a more involved level of support and want to delegate a larger portion of their day-to-day tasks.
If you are not sure where to start, we can help you look at your current workload and decide which option makes the most sense. You can always adjust as your needs change.
How do I know if I’m ready to hire a virtual assistant?
You may be ready for a virtual assistant if you are spending too much time on tasks that do not actually need to be done by you.
Some common signs include:
Admin work is taking over your day.
Important tasks are starting to slip through the cracks.
You are constantly working in your business instead of on it.
You know what needs to get done, but you simply do not have the time.
You are feeling stretched too thin trying to manage clients, marketing, and day-to-day operations.
Your business has grown, but your support has not grown with it.
You do not have to wait until you are completely overwhelmed to hire help. In fact, bringing in support before you reach that point can make the transition much easier.
A good rule of thumb is this: if you are regularly spending time on repeatable tasks that someone else could handle, it may be time to start delegating.
Do you specialize in virtual assistants for wedding professionals?
Yes. AGA Business Solutions specializes in providing virtual assistant support for wedding professionals.
Because we work within the wedding industry, we already understand many of the day-to-day tasks, systems, and client expectations that come with running a wedding business. That can make the transition much easier because you are not starting from zero trying to explain how the industry works.
Our virtual assistants can support wedding professionals with things like:
Client communication and follow-up.
CRM and lead management.
Scheduling and calendar management.
Vendor communication.
Wedding timelines and client documents.
Website and blog updates.
Social media and marketing support.
General administrative tasks.
The goal is to give you support from someone who understands the type of business you are running and can become a reliable part of your day-to-day operations.
How much does a virtual assistant cost?
Our virtual assistant services start at $11 per hour, with pricing based on the number of hours of support you need each month.
We offer 10, 20, and 40-hour monthly options so you can choose the level of support that makes the most sense for your business.
That rate is your out-the-door cost. There are no additional payroll taxes, employer taxes, 1099s, or other hiring-related expenses for you to manage.
Your rate also includes more than just your VA’s time. AGA Business Solutions handles the matching process and provides ongoing support to help make the relationship as smooth and successful as possible.
Where are your virtual assistants based?
Our virtual assistants are all based in the Philippines.
They work U.S. hours and are fluent in English for reading, writing, speaking, and comprehension, so communication is clear and day-to-day collaboration feels easy.
The Philippines also has a large and highly experienced virtual assistant workforce. We have found the VAs we work with to be incredibly hardworking, dependable, and eager to learn, which is a big part of why we have built our team there.
Every VA still goes through our own extensive vetting process. We evaluate communication, professionalism, reliability, attention to detail, adaptability, and their ability to learn quickly before they are ever matched with a client.
How do you choose and match virtual assistants?
We take the hiring and matching process very seriously because the right VA is about much more than simply finding someone who is available.
Every VA we work with goes through a careful vetting process before they are ever introduced to a client. We look at things like experience, communication skills, professionalism, reliability, attention to detail, and how well they work within a structured business environment.
Because our VAs often need to be proficient across a wide variety of tasks, we also require them to complete an array of test projects in different areas. We want to see how they problem-solve, follow instructions, adapt, and learn new systems, because being a quick learner is incredibly important in this type of role.
We also take the time to understand your business, the tasks you want to delegate, your communication style, and the type of support you need before making a match.
From there, we pair you with someone we believe will be a strong fit for both the work itself and the way you like to operate.
Our goal is not just to find you a VA. It is to help create a working relationship that feels dependable, comfortable, and built to last.
What if I’ve never worked with a virtual assistant before?
That is completely fine. Many of our clients have never worked with a virtual assistant before, and you do not need to have everything figured out before you get started.
We will walk with you every step of the way, from onboarding and setting expectations to figuring out what to delegate and how to communicate with your VA.
You will never be left wondering what to do next or how to make the relationship work. We are here to guide the process, answer questions, and help make the transition as smooth as possible.
Our goal is for you to feel supported and confident from the very beginning, even if this is your first time handing part of your business over to someone else.
What if I’ve had a bad experience with a virtual assistant before?
Not all virtual assistants or VA agencies are created equal, and a poor match can create more stress instead of less. That is why we have put so much thought into our hiring, vetting, matching, onboarding, and ongoing support processes.
We do everything we can to make sure the relationship is successful from the start, but we also have policies in place if something is not working, including the option to rematch you with another VA.
To date, we have a 100% success rate with our matches, and while no process can eliminate every possibility of a mismatch, our goal is to make sure you always feel supported and have a clear path forward if something does not feel right.
What if I do not know what to delegate?
That is very common. You do not need to have a perfect delegation plan before you get started.
We usually recommend starting small. Begin by making a list of the tasks you are currently doing that someone else could realistically handle for you. Think about the repeatable admin work, follow-ups, scheduling, updates, and behind-the-scenes tasks that take up time but do not necessarily need your personal attention.
From there, you can hand off a few things at a time and gradually add more as you and your VA get comfortable working together.
During onboarding, we can also help you look at your workload and identify good places to start. The goal is not to hand over everything at once. It is to slowly create more space in your business by delegating the things that no longer need to stay on your plate.
What happens after I get started?
Once you get started, we will schedule an onboarding call so we can learn more about your business, your current systems, the tasks you want to delegate, and the type of support you need.
From there, we will begin the matching process and prepare your VA before they officially start working with you.
We also include a full week of pre-training as part of your onboarding. During that week, we familiarize your VA with your business, your brand, and the specific platforms or systems they will be using so they are not coming in completely cold.
That pre-training week is included in your onboarding fee, so you are not paying your regular VA rate for that time.
The goal is to make the transition as smooth as possible and give your VA a stronger starting point before they begin handling your day-to-day tasks.
What if I’m nervous about trusting someone with my business?
That is completely understandable. Handing parts of your business over to someone else can feel like a big step, especially if you are used to doing everything yourself.
That is one of the reasons our vetting and matching process is so important. We take the time to carefully choose VAs who are reliable, professional, adaptable, and capable of learning the way you like things done.
We also stay involved after the match is made. If questions come up, something feels off, or you need help navigating the relationship, you are not left to figure it out on your own.
Trust does not have to happen overnight. It can build gradually as your VA learns your business, your systems, and your expectations, while you gain confidence in handing more things over.
Can my VA communicate directly with my clients?
Yes. If you want your VA to communicate directly with your clients, we will discuss that during onboarding so we can understand exactly what that will involve.
That may include communication by email, phone, or video chat, depending on how your business works and what you want your VA to handle.
When we know a VA will be client-facing, we look for specific traits during the matching process, including strong communication skills, professionalism, confidence, and the ability to represent your business well.
How do I communicate with my virtual assistant?
The main ways you will communicate with your virtual assistant are email, WhatsApp, and Zoom.
Email works well for day-to-day updates, instructions, and anything you want to keep documented. WhatsApp is great for quick questions or communication throughout the day, and Zoom can be used whenever you need a face-to-face conversation, training, or a more in-depth discussion.
If you prefer, you can also use Google Voice for calls or text communication.
Do I need to train my virtual assistant?
Yes. There will still be some training involved because every business has its own systems, preferences, workflows, and way of doing things.
As part of our onboarding process, your VA receives a full week of pre-training where we familiarize them with your business, brand, and the specific platforms or systems they will be using. This gives them helpful background before they begin working with you, but it does not replace the training that comes from learning your specific processes.
From there, you will still need to teach your VA how you like certain tasks handled and walk them through the details that are unique to your business.
We also specifically vet our VAs for adaptability and the ability to learn quickly, which helps make that training process much easier over time.
Can my VA use the tools and platforms I already use?
Yes. Your VA can work within the tools and platforms you already use.
Our goal is for your VA to become a natural extension of you and your business, working within the systems, platforms, and processes you already have in place.
We specifically look for VAs who are adaptable, quick learners, and comfortable learning different types of software, so they can fit into the way your business already operates.
Will my virtual assistant have set working hours?
Yes, our 20-hour and 40-hour virtual assistant plans include set U.S. working hours. If you need help with day-to-day tasks, ongoing communication, or work that needs to be handled during specific business hours, these are usually the best options.
Our 10-hour plan works a little differently. This is a project-based VA option, so your VA will not have a set U.S. working schedule. They will complete assigned tasks within the agreed timeframe and will be available at least once a week during U.S. hours if you need to meet or check in.
The right option really depends on whether you need consistent daily availability or more flexible, project-based support.
What happens if I have an issue with my VA?
If an issue comes up with your VA, you do not have to handle it on your own.
We are here to help with communication concerns, misunderstandings, performance issues, or anything else that may be affecting the working relationship.
We will talk through what is happening, help identify the best way to address it, and work with both you and your VA toward a solution.
If additional training or support would help, we can provide that as well. And if the issue turns out to be a fit problem rather than something that can be worked through, we also have a rematching process in place.
Can I increase or decrease my hours?
Yes. You can increase or decrease your monthly hours as your business needs change.
We currently offer 10, 20, and 40-hour options, so you have some flexibility to adjust your level of support over time.
We do want to be transparent that changing hours may sometimes mean changing VAs. For example, a VA who is available for a 10-hour project-based schedule may not have the availability needed for a 20 or 40-hour set schedule, or vice versa.
If a rematch is necessary, we will guide you through the process and do our best to make the transition as smooth as possible.
Is there a long-term commitment?
No. There is no long-term commitment.
If you decide the service is no longer the right fit, we simply require 14 days written notice to cancel.
We keep the process straightforward because we want clients to continue working with us because the support is valuable to their business, not because they are locked into a long-term contract.
What happens if my VA is not the right fit?
We put a lot of care into our hiring and matching process, but sometimes a working relationship simply is not the right fit.
If that happens, we do not expect you to just make it work. We will talk through what is not working, help identify what you need differently, and if necessary, rematch you with another VA.
Our goal is to make sure you feel supported throughout the process and confident in the person helping you run your business.
We currently have a 100% success rate with our matches, but we also have a clear process in place if a change is ever needed.
What kind of ongoing support does AGA provide?
AGA stays involved throughout the relationship. We do not simply match you with a VA and then disappear.
We are here to support both you and your VA as you work together, answer questions, help with communication, and step in if something needs attention.
If your VA needs additional training along the way, we can also help provide that support so they can continue building the skills needed to work effectively within your business.
We also provide ongoing guidance to help make the relationship as smooth and successful as possible, especially as your VA learns your business and takes on more responsibility over time.
Our goal is for you to feel like you have support behind the scenes, not like you are managing the entire process on your own.
How do I get started?
Getting started is easy.
If you are ready to move forward, you can choose the virtual assistant plan that best fits your needs and begin the onboarding process.
If you are not sure how many hours you need or whether a VA is the right fit for your business, you can book a Clarity Call with us first. We can talk through your workload, what you are hoping to delegate, and which level of support makes the most sense.
